Building your customer directory
Where contacts come from
Promote → Marketing → Contacts gives you a directory of everyone who's booked with you or been imported, deduplicated by email — name, phone, date of birth, marketing status, and how many times they've booked. It's different from an event's own guest list: this is your whole customer base in one place. Contacts arrive two ways: automatically from a confirmed booking, or by importing a CSV.
Marketing status
Each contact has a per-venue marketing status, shown as a badge:
Opted in — ticked the marketing checkbox at checkout, or opted in manually by a staff member. Campaigns can reach them.
Unknown — no explicit consent yet, e.g. imported from a CSV or booked without ticking the marketing checkbox. Campaigns can't reach them.
Opted out — they clicked “unsubscribe” on an email you sent them.
Suppressed — Covered automatically stops emailing an address after a hard bounce or a spam complaint, to protect deliverability. This can't be undone from the portal.
Only “Opted in” contacts are ever included in a campaign send — segments and sends both enforce this automatically, with no way to override it. You can move a contact back to “Opted in” yourself with “Opt back in” next to their row (e.g. they confirmed consent another way); there's no way to opt someone out or suppress them manually — both only happen through the contact's own action.
Importing contacts by CSV
Import CSV (also available under Marketing → Imports, which keeps a log of past imports) accepts a file with an email column, plus optional first_name, last_name, phone, and date_of_birth (YYYY-MM-DD) columns. Importing adds someone to your directory but doesn't opt them in — they start as Unknown until they opt in some other way, the same rule as any other unconsented contact. Existing contacts are merged, never overwritten: a blank field in the file never clears a value you already have on file.
